A regional primary health network working with a large number of external suppliers needed to bring structure to their accounts payable process, without building a custom supplier portal.
Unstructured document intake
Suppliers sent invoices, quotes, credit notes, and statements via email: different formats, missing details, no standard structure. Finance spent hours chasing missing ABNs, PO numbers, and attachments.
No visibility into document status
Suppliers had no way to know if their invoice was received, under review, or processed. Internal staff couldn't easily see what was pending acknowledgement or where a document was stuck.
Manual handoff to internal systems
Once documents were acknowledged, they needed to be logged into the organisation's purchase request system: a manual step that added delay and introduced data entry errors.

A Supplier Portal in Four Stages
BPA replaced the email-based process with a structured, multi-stage workflow that guides documents from supplier submission through to internal processing, with full visibility at every step.
Supplier Submits Documents
External suppliers log in and submit invoices, purchase orders, quotes, credit notes, or statements through a structured form. Required fields ensure nothing is missing: supplier name, ABN, amounts, dates, and document attachments are captured upfront. Multiple invoices can be submitted in a single request.
External supplierFinance Reviews & Acknowledges
The assigned finance staff member receives a notification and reviews the submission. They can acknowledge receipt, send it back to the supplier for corrections, or reject with comments. The supplier is notified of the outcome automatically.
Finance teamInternal System Processing
Acknowledged documents are routed for entry into the organisation's purchase request system. The workflow supports conditional routing: finance staff can handle the upload themselves or assign it to an admin, depending on the document type and workload.
Finance or AdminComplete with Audit Trail
The document is marked as received and the full submission, every field, attachment, approval, and timestamp, is preserved as an auditable record. Both supplier and internal staff can see the final status.

External suppliers onboarded without IT
Suppliers access BPA directly: no separate portal to build, no integration to maintain. They submit documents, receive status notifications, and resubmit corrections through the same governed workflow.

Suppliers log in directly and interact with forms designed for their role. Stage-based section visibility ensures they see only what's relevant: their submission fields, not internal processing steps.
Multi-Stage Workflows
Four governed stages with send-back capability, conditional routing, and automatic notifications. The workflow enforces the right sequence without manual coordination.
Conditional Routing
After acknowledgement, the workflow routes to the right person for system entry: finance handles it directly or assigns to an admin, based on a simple selection.
Required Field Validation
Mandatory fields for supplier details, amounts, dates, and attachments ensure every submission arrives complete. No more incomplete invoices or missing ABNs.
Section Visibility per Stage
Each stage controls which form sections are visible and editable. Suppliers see submission fields; finance sees acknowledgement fields; admins see processing fields.
Email Notifications
Automatic notifications at every stage transition: suppliers know when documents are acknowledged or sent back, finance knows when new submissions arrive.
