Send something for approval

This adds a human decision to a Flow, and does something different depending on the answer.

Before you start

  • A Flow that already starts from a form. See Email someone when a form is submitted if you do not have one.

Steps

  1. Open your Flow and add an Approval step.
  2. Choose who decides.
    A named person, or a group such as “Managers” so whoever is available can act.
  3. Write what they will see.
    Keep it short. They need enough to decide without opening anything else.
  4. Add what happens after Approved, and after Rejected.
    Usually an email back to the person who asked, saying which it was.
  5. Publish, then test it with your own address in both roles.

What you should see

The approver gets a task in their Tasks list and an email. When they answer, the Flow carries on down the matching branch.

If it does not work

The approver sees no task.
They need access to the team. Check with your team admin.

Nothing happens after they approve.
The Approved branch is probably empty. Open the Flow and check there is a step under it.
