Where your information is kept

Every piece of information in BPA lives in an entity. An entity is the shape of the thing, such as a Client, a Case or a Time Entry, and each individual one you store is a record. A form collects a record. A flow reads and writes records. A screen in an app shows them.

You do not have to design any of this to use BPA. It is worth knowing the two words, because the rest of the help centre uses them.

Before you start

• Building access. If you cannot see Build, ask your team admin.

Steps

1. Open Build, then Data.
   The top row counts what exists: how many entities, how many records across all of them, and how many domains they are grouped into.
2. Pick a domain to narrow things down.
   Domains group related entities, so you are not scrolling one long list.
3. Open an entity to see its records.
   This is the raw view. Most people will use an app or a form instead, which shows the same records with only the fields they need.
4. Use Recently Modified to pick up where you left off.
   It lists what changed last and how many records each holds.

What you should see

You can find any entity, see how many records it holds, and open one.

If it does not work

An entity shows 0 records.
Nothing has been created in it yet. That is normal for a new workspace, or for a lookup list nobody has filled in.

I cannot find the information a form collected.
Look at the form's own submissions first, described in See and export what people submitted. That is the same data, shown per form.
