Email someone when a form is submitted
When a form is submitted, BPA sends an email to whoever needs to know.
Before you start
- A published form.
- The email address you want to notify.
Steps
- Open Flows and choose New flow.
- For the trigger, choose When a form is submitted, then pick your form.
The trigger is what starts the Flow. Nothing runs until this happens. - Add a Send email step.
- Fill in who it goes to, the subject and the message.
You can drop answers from the form into the message, so the email says who submitted it and what they asked for. - Choose Publish.
Same rule as forms. A draft Flow never runs. - Submit the form yourself to test it.
What you should see
The email arrives within a few seconds, with the answers from the form in it.
If it does not work
No email arrived.
Check the Flow is published rather than a draft. Then check the junk folder. Then open the Flow and look at its runs, which show whether it started at all.
The email arrived but the answers are blank.
The fields were probably added to the message before they existed on the form. Re-pick them from the list and publish again.
It ran twice.
Usually two published Flows on the same form. Check your Flow list for a duplicate.
